Who We Are

Bookd Beauty, a product of Bookd Technologies LLC ("Bookd," "we," "us," or "our"), is a smart booking platform that connects clients with independent beauty professionals. Each studio's booking page on this site is operated by that independent professional; Bookd provides the software underneath. You can reach us at hello@bookdbeauty.com.

Information We Collect

When you book an appointment or interact with our platform, we may collect:

• Your name, phone number, and email address
• Appointment details (date, time, services requested)
• Hair notes and preferences you share during the booking process
• Photos you choose to send, for example a picture of your hair by text or during a consultation
• Device and browser information for security and performance
• Usage data such as pages visited and actions taken
• Your conversation with a studio's consultation assistant. We keep it for up to 90 days so we can check the assistant is answering people well. Contact details are removed before it is stored: email addresses, phone numbers, long card-length numbers, and any name you introduced yourself by are taken out of both what you wrote and what the assistant replied

Visits to a booking page are counted with a random identifier that lives only in that browser tab and is discarded when you close it. It is not a cookie, it does not follow you to another site, and it is never linked to you.

How We Use Your Information

We use the information we collect to:

• Schedule and manage your appointments
• Send appointment confirmations, reminders, and updates via SMS or email
• Provide stylists with the context they need to serve you well
• Improve and personalize the booking experience
• Comply with legal obligations

SMS Communications

SMS messages are optional. When booking online, you may check an optional, unchecked-by-default box to receive SMS messages related to your appointment. Booking is available either way. If you opt in, messages may include confirmations, reminders, and status updates. If you text a studio line, an automated assistant may answer on your stylist's behalf, and your stylist can take over the conversation at any time or when you ask for a person. Sharing Your Information

We do not sell your personal information. We may share your information with:

• Your stylist, to fulfill your appointment
• Twilio, our SMS delivery provider, solely to send appointment messages
• Resend, our email delivery provider, solely to send appointment emails and receipts
• Stripe, our payment processor, to take card payments, deposits and gift cards paid to a studio, online or in person. Your card details go straight to Stripe; Bookd never sees or stores them
• Supabase, our secure database provider, for data storage
• Anthropic, whose language models power the automated tools in Bookd. When you text a studio line or use the consultation on a booking page, your message, any photo you send, and your appointment history with that studio are processed to write the reply. When your stylist asks Bookd, the helper in her app, to do something for her, the details of yours that her request needs, such as your name, your visits and the notes on your client card, are processed to carry it out. When she brings a receipt, her menu, her calendar or her client list into Bookd from a photo or a file, what is in it is processed to read it, and a client list can include your name, phone number and email address. Under its terms with us, Anthropic may not use any of this to train its models. It deletes what it receives within 30 days, unless it is flagged for review under Anthropic's usage policy, when it may keep it for up to two years, or the law requires it to keep it longer
• Law enforcement or regulators, when required by law

All third-party providers are contractually bound to protect your data and may not use it for any other purpose.

Data Retention

We retain your personal information for as long as necessary to provide our services and comply with legal obligations. Consultation conversations are deleted after 90 days, and the anonymous counts of visits to a booking page after 400 days, both automatically. You may request deletion of your data at any time by contacting us at hello@bookdbeauty.com.

If you run a studio on Bookd, you can delete it yourself in the app, under Sign-In & Security. Your booking page closes and your account is locked straight away, and nothing more is sent to your clients. For 30 days the studio can be restored exactly as it was, in case of a mistake or if someone else got into your account: write to hello@bookdbeauty.com. After 30 days the studio and everything in it, including its clients, appointments, messages and photos, is permanently erased and cannot be recovered. We keep only a record that a deletion happened and when, with no personal details. Card payment records are kept by Stripe, our payment processor, as the law requires.

If you use Bookd, the helper in the iPhone app, what you ask it and what it did are kept with your studio, so you can look back at them and undo a change, and so we can see what Bookd costs to run and whether it is working. After 90 days the words are erased, and we keep only a record of what each request cost and whether it was undone. When you send a request to the Bookd team, it reaches us by email. Before it does, we take out the names of your clients wherever we can find them, but a nickname or a misspelled name can get through. We keep these requests to decide what to build, including after your studio is deleted.

The iPhone App

Bookd Beauty for iPhone is for stylists; clients never need it. Beyond what this policy already describes, the app uses a few things on the phone itself, each only when you use the feature it belongs to:

• Face ID or your passcode, to unlock the app. Your iPhone does the checking; Bookd never receives your face data
• Your location, only while a card is being read with Tap to Pay on iPhone, because Apple and Stripe require it to confirm where a payment happens. Bookd does not track or store your location
• The camera and your photo library, only when you choose to add a photo: a receipt, a menu, an old calendar, a client photo, or your profile picture
• The microphone, only while you hold to talk to Bookd. Your iPhone turns what you say into text on the phone itself, and the sound of your voice is never saved or sent, to us or to Apple. Only the text is sent, to Bookd and to Anthropic as described above, to carry out what you asked
• Motion sensors, to light the app's gold surfaces as you tilt the phone. That reading never leaves the device
• Push notifications, if you allow them, for booking requests and client texts. We store a device token to deliver them and delete it when you sign out

A contactless card taken with Tap to Pay on iPhone is read by your iPhone and processed by Stripe. Card details never pass through Bookd.

Your Rights

Depending on your location, you may have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Opt out of SMS communications at any time by replying STOP
• Lodge a complaint with your local data protection authority

Security

We use industry-standard security measures including encrypted data storage and secure transmission protocols to protect your information. However, no method of transmission over the internet is 100% secure.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page with an updated effective date.
